n8n vs Make vs Zapier: how to choose
By Zohaib Yasin, founder of EncntUpdated 5 min read
Short answer
Zapier is the quickest to set up for simple, low-volume workflows and bills per task (each successful action step). Make suits visual multi-step scenarios and bills per credit. n8n bills per execution (one run of a whole workflow, however many steps) on its cloud plans and can be self-hosted free for internal use, which makes it the usual pick for high-volume, complex or data-sensitive work.

How do the three platforms compare?
Prices are each vendor's published list prices, checked on 20 October 2026. Our ratings of skill needed are opinion, from building on all three.
| Zapier | Make | n8n | |
|---|---|---|---|
| Billing unit | Task: each successful action step | Credit: most actions use 1; some AI features use more | Execution: one run of the whole workflow |
| Free option | 100 tasks a month, two-step Zaps only | 1,000 credits a month | Self-hosted Community edition (you pay for the server) |
| Entry paid plan | Pro from US$19.99 a month billed annually (750 tasks) | Paid tiers start at 10,000 credits a month; see make.com for current prices | Cloud Starter €20 a month billed annually (2,500 executions) |
| Self-hosting | No | No | Yes |
| Runs in a region you choose | No | No | Yes, when self-hosted |
| Signs a HIPAA BAA | No (Zapier says PHI isn't supported) | No public BAA found | Not for n8n Cloud (as of January 2026) |
| Skill needed to maintain (our view) | Lowest | Moderate | Highest, especially self-hosted |
Worked example: one workflow, three bills
Take one common workflow: a form submission (the trigger) that is checked, written to the CRM, sent to Slack and confirmed to the customer by email. That's one trigger and four action steps, running 2,000 times a month.
- Zapier: triggers don't count as tasks, so 4 actions × 2,000 runs = 8,000 tasks. That needs the 10,000-task tier: US$129 a month billed annually, or US$193.50 billed monthly. If one of those steps is a built-in Filter or Formatter, which Zapier doesn't count, usage drops to 6,000 tasks and still needs the 10,000-task tier.
- Make: roughly one credit per module per run, so about 5 × 2,000 = 10,000 credits a month, the size of Make's entry paid tiers.
- n8n Cloud: one execution per run, so 2,000 executions. That fits the Starter plan at €20 a month billed annually.
- n8n self-hosted: no per-run charge. You pay for a small server and, more importantly, for someone to maintain it.
The lesson is about scaling, not the specific numbers. On Zapier and Make, adding steps adds cost to every run. On n8n, a 20-step workflow costs the same per run as a 5-step one. That's why long AI workflows (fetch, clean, call a model, check the output, write back, notify) are usually cheaper on n8n.
What does n8n's licence allow?
n8n is source-available under its Sustainable Use License. It allows you to use and modify n8n for your own internal business purposes, or for non-commercial and personal use. It does not let you sell n8n itself as a hosted service to others. Files marked as enterprise (".ee") need a paid n8n licence. For a clinic or a company automating its own processes, the free self-hosted edition is generally fine; an agency building workflows inside a client's own n8n is also normal practice.
Which one handles errors and AI workflows best?
All three can retry failed steps and alert someone. The differences show up in bigger workflows:
- n8n has error workflows (a separate workflow that runs when another fails), code nodes in JavaScript and Python, and AI agent nodes that can call tools. Because you can self-host it, execution data stays where you put it.
- Make is strong at visual branching and data mapping, and its scenario editor makes complex flows readable for non-developers.
- Zapier has the largest catalogue of ready-made app integrations and the gentlest learning curve, which is why most teams start there.
When do we pick each one?
This is our first-party opinion from client projects, not a neutral ranking.
| Situation | Our usual pick | Why |
|---|---|---|
| A few simple workflows, low volume, no sensitive data | Zapier | Fastest to set up; your team can edit it themselves |
| Visual multi-step processes run by a non-technical ops team | Make | Readable scenarios; reasonable cost per credit |
| High volume, many steps or AI agent workflows | n8n | Per-execution billing doesn't grow with steps |
| Patient data or strict data-location rules | Self-hosted n8n | Data stays on infrastructure you choose, in-country if needed |
| The client already runs one platform well | Keep it | Migration costs money; switch only for a clear reason |
What should you know before migrating from Zapier to n8n?
- Not every Zapier app has an n8n node. Missing ones are rebuilt with n8n's HTTP Request node against the app's API, which takes longer.
- Zapier's built-in tools (Formatter, Paths, Delay) map to n8n nodes, but the logic often needs restructuring rather than copying.
- Run old and new side by side for a week and compare outputs before switching off the Zap.
- Decide who maintains self-hosted n8n before you migrate: updates, backups and monitoring don't happen on their own.
Questions people ask
Is n8n really free?
The self-hosted Community edition is free to use for your own internal business purposes under n8n's Sustainable Use License. You still pay for hosting and maintenance, and some features (such as SSO and log streaming) need a paid licence. n8n Cloud is a paid subscription.
Which is cheapest: n8n, Make or Zapier?
For simple two-step workflows at low volume, the free tiers of any of them may be enough. As workflows get longer and run more often, per-execution billing on n8n usually costs less than per-step billing on Zapier or Make. Run your own numbers with the worked example above.
Can clinics use Zapier or Make with patient data?
Not with US patient data under HIPAA: Zapier says it doesn't support PHI and won't sign BAAs, and we found no public BAA from Make. For UAE clinics, health data generally has to stay in the country. See our guide to whether n8n is HIPAA compliant.
Do you build on all three?
Yes. We recommend the one that fits the work and the team that will run it, and the workflows live in your account either way.
